1. Controller and scope
Mayk Biletti, Sportplatzgasse 32b, 2443 Leithaprodersdorf, Austria, is responsible for processing determined by ECOTRUCKS.EU. Contact: info@ecotrucks.eu, +43 660 2812926. This draft describes the implemented website and proposed enquiry handling. The final hosting and email providers still need to be documented.
2. Website access and hosting — details pending
Accessing a website technically transmits information such as an IP address, requested resource, time and browser information to the serving infrastructure. Providing and protecting our website serves our legitimate interest in a functional and secure service under Article 6(1)(f) GDPR. The records actually retained and their retention periods must be established from the chosen hosting configuration. No unverified deletion period is promised.
3. Private preview
This preview is provided through ChatGPT Sites and requires ChatGPT sign-in. OpenAI’s privacy information also applies to use of a ChatGPT account. The Ecotrucks website code does not request account or profile data. The processing performed by the hosting and sign-in infrastructure, the parties’ roles, subprocessors and any international transfers must be documented before release. Referring to OpenAI does not replace this outstanding assessment.
4. Calculator, downloads and printing
Fleet inputs and the assumed reduction are calculated in your browser. PDF and text reports are generated on your device. The pilot pack is a downloadable PDF template; entries in that file are not automatically read or submitted by the website. Only when you choose to transfer a scenario to a pilot enquiry are calculation inputs without contact details temporarily stored in the browser tab’s sessionStorage. They are accepted for form transfer for up to 30 minutes and removed after a successful submission or active removal; the browser clears them when the session ends. Transferred data is visible and editable in the form. It reaches the server as part of your message only when you submit the form.
5. Cookies, embedded content and analytics
Our website code contains no analytics tools, advertising pixels, remote font requests, embedded maps or newsletter forms. It does not set cookies. Possible storage access by the hosting and sign-in platform is separate. Its names, purposes, providers and lifetimes must be checked and added before release. New services requiring consent may only be activated after valid consent.
6. Enquiries and pre-contract communication
If you contact us, we process your contact details, message and the vehicle or order information you provide to handle your request. Article 6(1)(b) GDPR applies where communication concerns your own contract. Necessary communication with company representatives or about general business enquiries relies on Article 6(1)(f); our interest is responding to and handling business matters. Required information depends on the enquiry. Without it, we may be unable to respond meaningfully. Please provide only necessary information and avoid unnecessary driver or third-party data.
7. Recipients and transfers — details pending
Before release, the actual hosting, email and any other IT providers must be recorded, including their roles, locations and processing agreements. When fulfilling a contract, necessary details may also go to tax advisers, payment providers or competent authorities where required for fulfilment or legal duties. Actual international transfers and their legal safeguards must be identified after this assessment. Processing exclusively within Europe is not claimed.
8. Retention and deletion
Enquiries are retained only as long as justified by handling the request, a subsequent contract or the necessary protection of legal claims. Austrian accounting and tax records are generally retained for seven years from the end of the relevant calendar year. Longer statutory periods or pending proceedings may require longer retention. Compliance with legal retention duties relies on Article 6(1)(c) GDPR. Operational deletion schedules for other enquiries and server records must be established before release.
9. Your rights
Subject to the relevant legal conditions, you have rights of access, correction, erasure, restriction and portability. You may object to processing based on legitimate interests for reasons relating to your particular situation, and to direct marketing at any time. You can withdraw consent prospectively. Send requests to the contact above. You may complain to a supervisory authority, particularly in your habitual place of residence, workplace or the place of the alleged infringement. In Austria this is the Datenschutzbehörde: https://www.dsb.gv.at/.
10. Automated decisions and changes
The fleet calculator produces example calculations only. It does not make decisions about individuals with legal or similarly significant effects. Privacy information will be updated when the services used or processing purposes change.
